Event-organiser acquisition happens quickly and often on the phone. Disconnected spreadsheets, personal call logs, and loosely defined stages made lead ownership, follow-up quality, and hand-offs difficult to verify.

Approach_

Parallaxis connected the mobile calling experience to a structured CRM model with assignment rules, role-aware views, stage validation, notes, tasks, and a common activity timeline.

The CRM gives sales and operations teams a shared record of organiser outreach, clearer lead ownership, and a controlled path from first call through qualification, KYC, quotation, and onboarding.

Overview

MePass works with event organisers across India, where a useful lead can appear and go cold within the same day. The sales workflow therefore had to live close to the phone: representatives needed to find assigned leads, call an organiser, capture the outcome, and schedule the next action without returning to a desktop spreadsheet.

Parallaxis developed the CRM as part of the wider MePass operating system. The work connected a React Native mobile application with organiser records, role-based access, call activity, quotations, onboarding data, and the administrative processes used by sales, finance, and operations.

The sales visibility gap

A conventional contact list records names and numbers but not the quality of the work around them. Managers could not reliably tell whether a lead had been contacted, why it had moved stages, which commitment was made, or who owned the next step.

The data model also had to distinguish an organiser lead from a company record. KYC, banking, business details, event history, and contact activity do not all belong in the same object, and duplicating them creates conflicting versions of the truth.

Designing around the call

The mobile experience makes the assigned lead the starting point. A representative can open a record, place the call, record a disposition, add a note, and create a follow-up task. Calls initiated through the workflow are associated with the lead so the CRM timeline reflects actual outreach rather than end-of-day recollection.

We kept the interaction compact for field use: status, owner, recent activity, next task, and the details needed for the conversation appear before secondary administrative information.

Stage controls without blocking the team

Hard validation at every stage can make a sales CRM unusable. No validation, however, turns the pipeline into guesswork. We implemented a soft-gate model: required information is surfaced, incomplete transitions require a reason, and the note, task, and stage change remain visible in the timeline.

Fields for lead type, validation status, and stage-change notes give managers a way to identify weak hand-offs without forcing representatives to abandon a live conversation.

Roles, assignments, and sensitive data

Role-aware access separates what representatives, managers, finance users, and administrators can see or change. Authentication and protected APIs control access to organiser data, while banking and KYC information follows the onboarding workflow instead of being copied across unrelated records.

From lead to operational hand-off

The CRM is connected to the work that follows a successful conversation: quotations, payment verification, organiser onboarding, event setup, and internal tasks. That continuity reduces the common gap where a deal is marked won but operations still has to reconstruct what was promised.
